How to Set up Gmail to receive email from your BWF Hosted Email Account

Email forwarders are generally a bad idea where free email accounts such as yahoo, hotmail and Gmail are concerned as this can result in IP blacklist issues occasionally. All these email clients allow you to check your email directly from your BWF Hosted Email Account anyhow so there is actually no need to set up a forwarder.

You can also set Gmail Up to send email from your BWF Hosted Email Account as well by performing a one off email verification within Gmail.

Here are instructions for having Gmail retrieve emails sent to your BWF Hosted Email Account:

  1. Click on the cog icon towards the top right corner.
  2. Click on "Settings"
  3. Click on the "Accounts and Import" tab
  4. Click on "Add an email account" in the section titled "Check email from other accounts" and a popup will appear
  5. Enter the email address and click the "Next Step" button
  6. Enter the User Name as the complete email address
  7. Enter the Password for the email account
  8. Enter the POP server as mail.domain.com (replacing domain.com with your domain)
  9. Ensure the Port is set to 995
  10. Decide if you wish to "Leave a copy of the retrieved messages on the server" and tick if needed
  11. Tick "Always use a secure connection (SSL) when retrieving mail.".
  12. Decide if you wish to label the messages and tick the box if needed
  13. Click "Add Account"

BE CAREFUL: If you have not ticked the box to "Leave a copy of messages on the server" then ALL your emails will be downloaded to Gmail and will be lost from your BWF Hosted Email Account.

 

The email account you have just added will now appear under the list of accounts in "Accounts and Import" tab under "Settings"

Gmail will go and check all emails and download them. If you have a lot of messages this will take sometime and it will fetch them in batches.

You can check for new mail manually (Gmail will do it automatically on a regular basis) if you need to get an email quickly by doing the following steps

  1. Click on the cog icon towards the top right corner.
  2. Click on "Settings"
  3. Click on the "Accounts and Import" tab
  4. Click on "Check mail now" beside the account you want to check manually.

 

How to Set up Gmail to send email from your BWF Hosted Email Account

Gmail will also allow you to send email from your BWF Hosted Email Account meaning Gmail could be your one stop shop for all things email. Here is what you need to do to allow Gmail to send email from your BWF Hosted Email Account:

Click on the cog icon towards the top right corner.

  1. Click on "Settings"
  2. Click on "Accounts and Import" tab
  3. Click on "Add another Address you Own" in the section titled "Send Mail As" and a popup will appear
  4. Enter your Name
  5. Enter your Email Address
  6. It is recommended that you tick "Treat as an alias" and you can read more about this option here - Should I uncheck "Treat as an alias" in Gmail?
  7. Click Next Step
  8. Enter the SMTP server as mail.domain.com (replacing domain.com with your domain)
  9. Ensure the Port is set to 465
  10. Select "Secured connection using SSL"
  11. Click "Add Account"
  12. This will automatically send a verification email, you can either click in the email, or enter the confirmation code in the popup.

You will now be able to choose what email address to send email from when composing an email in Gmail.
